ADMINISTRATION OFFICER – PART-TIME

We are seeking a confident, self-motivated and reliable person to join our Team as an Administration Officer at our head office in Karana Downs (4306).

Sustainable Pty Ltd is a small Design & Construction company with over 40 years’ experience in delivering award-winning, design-led sustainable homes across Brisbane, broader south-east Queensland and northern NSW.

About the Role:

We are looking for a focused individual to manage administration tasks within a supportive, small business environment. The successful candidate will have a long-term motivation and be responsible for general day-to-day administrative duties, client services, CEO personal assistance and basic MYOB data entry support.

Key responsibilities include (but not limited to):

  • Answering phone calls and shared email inbox/calendar management
  • Planning, organising and managing administrative deadlines
  • Prepare Client Contract proposals, plans and related project documentation
  • Assist with payroll, timesheets and general MYOB data entry tasks
  • Hard copy and digital administrative document filing and archiving
  • Provide CEO and team member administrative support, as required
  • Manage office supplies inventory, inventory orders and PO Box mail pick-up
  • General cleaning and other ad hoc administrative duties, as required

Successful applicant qualities we are looking for:

  • Self-motivated to proactively take initiative and responsibility of the role and help guide administrative operations
  • Confident communicator with strong writing capabilities and verbal skills and a keen interest in client service
  • Strong problem-solving and practical judgement skills, attention to detail and organisational skills
  • Capable of effectively managing and prioritising multiple tasks to meet deadlines
  • Strong capacity for adaptability and flexibility and to handle pressure within a fast-paced environment
  • Ability to work as part of a small team and independently without supervision
  • Proficient computer literacy skills, particularly experience with Microsoft Office Suite (Word, Excel, Outlook) and related software/technology *Required
  • Someone who is reliable, punctual, has integrity and a strong work ethic
  • Someone who is not afraid of general day-to-day administrative and filing duties
  • Basic experience with MYOB data entry *Preferred, not essential

Role Requirements:

  • At least 2+ years prior experience in a similar role
  • Be available to work within normal business hours Tuesday to Friday, with a minimum of 32-hours per week
  • Must have a driver’s license and your own reliable vehicle and/or have reliable transport
  • Someone with an engaging and positive outlook, an organised and self-motivated disposition and a focused willingness to learn and contribute within a small team environment
